Under general supervision of the Employment Manager, this position is responsible for filing all documents in District personnel files and confidential files. The position also serves as the HR receptionist from 3:30 ? 5:00 p.m. each day. EXAMPLE OF DUTIES: Maintains the personnel files and confidential files for all District employees. (includes file set-up, purge and storage processes) Responsible for taking and producing photo IDs for District staff. Performs receptionist?s duties including greeting visitors and responding to questions primarily related to the application process for MMSD. Scan and index documents into HR database using Fortis imaging system. Fingerprint prospective new hires. Type memos, reports, forms and correspondence. Answer multi-line phone system. Sort and distribute mail for HR department. A variety of related duties as assigned. REQUIRED KNOWLEDGE, SKILLS & ABILITIES: Ability to stand, bend, reach over the shoulder, and climb on step stool to file records for 2-3 hours daily. Ability to alphabetize & sort records for filing and file large volumes of paper documents accurately & productively. Ability to communicate courteously and effectively with staff and the community, both orally and in writing. Ability to deal with sensitive personnel issues in a confidential and professional manner. Ability to maintain accurate records and enter data with extreme accuracy and productivity. Ability to handle a high volume of phone calls and walk-in customers. Experience working cross-culturally and or commitment to work toward improving one?s own cultural competence, i.e., valuing difference/diversity, recognizing personal limitations in one?s skills and expertise, and having the desire to learn in these areas. MINIMUM QUALIFICATIONS: Two years office experience or a combination of experience and formal training equivalent to two years, including successful use of word processing software (Microsoft Word) and spreadsheet software (Microsoft Excel). Productive keyboarding skills are required. Skills tests in this area will be used to consider candidates. Demonstrated customer service skills in a similar setting. PREFERRED QUALIFICATIONS: Experience entering information in a Human Resources information system. Bilingual ?
