We are seeking an individual who would like to get their "foot in the door" to a Government Agency in an Executive administrative capacity. Only individuals who will commit to a 12 month assignment will be considered. You will perform correspondence-related work, whether from voice (dictaphone) recordings or written material using Microsoft Office applications to execute office automation functions such as storing and retrieving electronic documents and files, formatting letters, reports and memoranda and transmitting and receiving e-mails, develop and change spreadsheets (Excel) to graphically display data and develop presentation materials (PowerPoint). Advanced/Expert level skills in MS Word, Excel, PowerPoint and Outlook or MS Calendar required). You will receive, schedule, refer and contact members of the staff, agency and persons outside the agency ranging from other government agencies to the general public. Also, respond to administrative problems brought to the supervisor's attention by members of the staff or management officials outside the organization or the agency. You may be required to notify the appropriate subordinate management officials of the need for information or recommendation, and either prepare the response or follow up to ensure a timely response by others. Also, process incoming and outgoing materials such as correspondence, reports, memoranda and other forms of written communication. Screens all publications, directives and periodicals and brings those of significance to the supervisor's attention. In the supervisor's absence, maintains a file of correspondence and events of which the supervisor should know and, upon the supervisor's return, brings such matters to the supervisor's attention. You wil schedule appointments, coordinate meetings and/or schedule conferences. Exercise exclusive control over the supervisor's appointments with complete authority for commitment of time. Screens all calls and visitors, answering most questions and completing most business involving established policy or routine matters without referring people to the supervisor. Keeps informed of executives' itineraries so they can be reached, if needed. May be asked to obtain and monitor the use of services, supplies, or equipment for the office. Justifies and requests replacements for outdated equipment by identifying the outdated equipment, gathering relevant information on office equipment or requesting office equipment for own work area. May be required to establish and maintain an efficient filing and reference system for all files related to the executive's work. And develop and utilize a system to ensure that deadlines are met. Also, ensure that information is easily retrievable. You will be responsible for meeting the needs of the customers while supporting program missions. Constantly communicate and treat customers (Visitors, Staff, Management, Customers) in a professional, courtesous, tactful and respectful manner. Provide customers with consistent information according to established policies and procedures. And, handle conflict and problems in dealing with a customer constructively and politely (if necessary). 3-10 years Sr. level Administrative Assistant or Executive Assistant experience required. Experience working with high level executives necessary. Flexibility to assist numerous, nice executives in a large Department necessary. Excellent knowledge of office protcol, preparing correspondence, utilizing dictaphone, and advanced knowledge of MS Word, Excel, PowerPoint and Outlook Calendar required.
