PRIMARY FUNCTION: To provide transcription services to include: data entry, verification and/or processing of data for scheduled reports; to assemble data in a predetermined order; and to perform related clerical duties. II. DETAILED RESPONSIBILITIES A. Clerical 1. Requests replenishment of office and/or computer supplies as needed. 2. Executes daily backup of local area network in absence of reporting channel. 3. Assists in the administration of the local area network (LAN), communication equipment and support of incoming remote user telephone questions. Responsible for notifying current system support vendor in reference to operating system or hardware failure in absence of reporting channel. 4. Oversees outgoing mail, and related postal equipment and supplies. B. Communication 1. Provides notification to reporting channel regarding: a. Status of routine workload and special projects as requested by field or home office personnel. b. Recommend improvements for production purposes. c. Assessment of resources to meet short and long term needs within the department. 2. Communicate problems or concerns in a timely and appropriate fashion to reporting authority. C. Data Entry Responsibilities 1. Receives data requisition from company personnel, or from immediate supervisor; generates applicable reports and channels output to correct authority. 2. Keys field operation inventory/service transactions and other related documents into computer. 3. Telephones operations staff regarding unacceptable data information (e.g. Control Number missing, disposition undefined). After ten (10) days a follow-up telephone call of unresolved data, and returns source documents by mail to the originator for any that cannot be resolved over the telephone. 4. Proofreads and edits work for accuracy prior to copying and distribution. 5. Meets deadlines and adapts to change. 6. Determines functionality of equipment and sees that the reporting channel is notified of any operational problems to be resolved. 7. Uses time with greatest possible efficiency for productivity and personal achievement. 8. Duplicates and assembles hospital reports, documentation binders, and copy requests. 9. Handles filing of all Equipment Data Forms, Equipment Service Reports, Client Report Packages and related documents. 10. Assists in preparation of mail, Federal Express and UPS shipments. 11. Communicates problems or concerns in a timely and appropriate fashion. 12. Assists with in-servicing of new personnel as requested. 13. Contributes to an atmosphere of cooperation for the accomplishment of established goals. 14. Updating and reporting of employee database system D. Other Duties 1. Is punctual and dependable. 2. Assists in relief of reception area and related responsibilities. 3. Observes ISS Policies and Procedures and confidentiality of work being processed. 4. Performs general tasks as requested. III. QUALIFICATIONS: The operator must have the ability to read and write competently. High school diploma or equivalent. Must be willing and able to transcribe a large percentage of projects with high degree of accuracy, proficiency and productivity. Must have the ability to adapt quickly to rapidly changing demands and priorities. Knowledge of personal computers, as well as working knowledge of Windows, internet browser, email and Microsoft Office Suite is required. Data entry experience along with basic office kills, phone support, copying, faxing, and other duties. Must be able to type a minimum of 40 wpm. Familiarity with IT terminology preferred. Experience with Microsoft Office, Remedy, and GroupWise is a plus.
