Supports and assists the Regional Director for Quality (Center for Healthcare Improvement) and related departments to assure an environment of efficiency and organization, which allows for the maximum accomplishment of the PeaceHealth/Ketchikan General Hospital's vision and goals. Continuously exemplifies the PeaceHealth mission, values and customer service philosophy of PeaceHealth in job performance and in relationships to others. Provide diversified support in a variety of clerical, planning, organizing, coordinating, and communication roles. Such responsibilities include, but are not limited to, typing/word processing, calendar scheduling, meetings, functions, telephones, office reception, taking minutes at various meetings, maintenance of office and e-filing systems, copying/collating, special projects and other position responsibilities as deemed necessary and appropriate. Customer interface will include all departments which report to the Director, as well staff throughout Ketchikan General Hospital personnel and physicians. POSITION REQUIREMENTS 1. Education: Successful completion of business school or college level secretarial training or equivalent, with coursework in office management preferred. Directly related work experience may be substituted in part for formal education. 2. Certification: N/A 3. Experience: A minimum of five years experience in a position of similar responsibilities and duties. Must have three years of administrative/secretarial experience in which skill in problem solving, verbal and written communication, organizing and disseminating complex and confidential information is demonstrated. Must be proficient in: Microsoft Office Tools to include: Word, Excel, Visio, Powerpoint, e-Calendar and appointment-scheduling and Access. Must have a working knowledge of medical terminology and hospital and healthcare systems and departments. Must also possess web design and application and previous web design and maintenance must be demonstrated. Previous hospital healthcare experience strongly preferred. 4. Interpersonal: Must have the ability to work efficiently and responsibly in an environment with multiple work demands and short time frames. The ability to effectively communicate orally and in writing with staff, department managers, hospital administration, public officials and other clientele is required. 5. Physical: Must be able to tolerate long periods of sitting; use keyboarding with sufficient dexterity for speed required for job; read computer screen text at times for extended periods; lift supplies weighing up to 25 pounds occasionally with assistance as necessary; hear and speak with individuals in person or on the telephone read and write text. ' Cooperates with other CHI departments to accomplish department/hospital objectives. ' Operates department in compliance with Joint Commission (TJC) and other regulatory agency requirements at the direction of the Director. ' Performs additional duties as needed to further enhance the quality of service provided, in a manner that supports the mission and philosophy of the PeaceHealth and KGH with no established pattern of noncompliance per review period. ' Provide daily clerical support to Director. ' Maintain proficiency in: o Microsoft Word o Microsoft Excel o Microsoft Calendars and Appointment/Meeting Scheduling o Microsoft Visio and Powerpoint o Microsoft Front Page or applicable web design e-tools ' Maintains the web sites for the CHI Departments ' Maintains the Crossroads-based Orders Webs for the hospital, following established protocol. ' Facilitate workflow for accurate and successful completion of assignments/projects by computer applications that include Microsoft Word, Excel, PowerPoint, Visio, Front Page, Access and Outlook. ' Compose, produce, and facilitate timely distribution of various correspondences with a high degree of accuracy, efficiency, professionalism and confidentiality. ' Telephone, office reception, and cross support of offices as needed. ' Management of calendars ' Meeting coordination ' Coordination of various CHI events/activities, dinners, luncheons, meetings, etc. ' Review of mail and respond/follow-through as appropriate. ' Record and distribute minutes for various meetings as requested; departments to include: CHI, Social Services, Utilization Review, Health Information Management (HIM), Medical Staff Office, Infection Prevention, and Organizational Integrity Task Force ' Assist with coordination of CHI Department policies as required. ' Responsible for the monthly gathering and electronic collation of data used in presentation of all CHI data for the KGH Governing Board. ' Enters electronic bi-monthly time sheets CHI Director departments. ' Enters and reports the CHI Departments statistics used in presentation to the Regional Executive Team monthly. ' Participate in the design, development, implementation and maintenance of CHI offices and services as appropriate. ' Performs other duties, responsibilities and special projects as deemed necessary and appropriate for the support of the CHI Director ' Make decisions within scope of responsibility to ensure the departments run smoothly. ' Maintains the Peer Review database in Access and reports monthly data for re-credentialing through the Department Director to the Medical Staff Office of: PeaceHealth, St. Joseph Medical Center in Bellingham, Washington. ' Work independently on ongoing projects and special assignments. Seek direction and clarification as needed. ' Order and maintain an adequate amount of supplies for CHI departments. ' Compose reports, presentations and organizational charts as requested. ' Arrange travel accommodations for CHI Director and designated reports. ' Arrange reimbursement expenses for CHI Director and designated reports. ' Promotes a safety-conscious work force and maintains good housekeeping practices. ' Keeps all personal work requirements current including annual e-education and employee health. ' Performs other duties, responsibilities and special projects as deemed necessary and appropriate by the Director for CHI. The Administrative Assistant to the CHI Director will frequently come in contact with sensitive and confidential information.
