General Summary: Must have strong service orientation including the ability to manage staff, answer multi-line phones, and greet members and guests. This is a multi-task position which requires initiative, motivation, self-direction, flexibility, concentration and accuracy. Duties & Responsibilities (* indicates duties are performed less than 5% of the time) 1. Answers multi-line phone, transfers calls, takes messages and reservations. (25%) 2. Greet  members and guests in a positive and professional manner as well as management, employees, vendors and service personnel. Directing members and guests as well as assisiting others as needed. (25%) 3. Takes dinner reservations, organizes event reservations, does confirmations, types: daily schedule, employee list, and OCC welcome frame, oversees the petty cash drawer, orders flowers, music, cakes for special events. Sends mailings, thank you, private party critiques. (30%) 4. Keeps reception office and personnel within reception office organized. This includes communicating events, reservations, etc. to other personnel, scheduling of the receptionist staff to maintain coverage. (10%) 5. Will maintains cleanliness and organization of the reception office. (5%) 6. Enforces policies, procedures and discipline when needed. Holds staff meetings at least quarterly to ensure staff are informed, trained and performing well. (5%) 7. Performs other duties as assigned. * Knowledge, Skills & Abilities 1. Knowledge of the Clubs policies, procedures, and services. 2. Knowledge of general office practices and procedures including filing systems, and telephone etiquette. 3. Computer skills and knowledge of Microsoft operating environment. 4. Skill in operating various office equipment including personal computer, printer, copier, fax, automated telephone system, and shredder. 5. Skill in oral and written communication, including the communication with other receptionists about upcoming club events and other issues for which member communication would be necessary. 6. Have a cheerful, pleasant, and helpful phone presence. 7. Ability to communicate in a courteous and professional manner. 8. Ability to organize and prioritize work assignments. 9. Ability to attend to visual detail in order to identify document errors. 10. Ability to work independently. Education & Experience High school graduate or equivalent plus one or more year’s administrative/supervisory experience.
