Essential Functions: 1. Creates domestic and international shipping documents daily. 2. Distributes all incoming mail and faxes to appropriate personnel and answers phone. 3. Orders all necessary office supplies and printing needs. Interfaces with vendors, both in person and over the phone, as necessary. 4. Scales all incoming and outgoing loads as necessary. 5. Prepares Worksheets daily for each day?s pick-ups, and completes them as all the paperwork necessary to complete them is received in the plant. Pulls Worksheets and Spec Sheets for the next day, as indicated by the Schedule. 6. When appropriate, prepares the necessary Bills of Lading, brokered paperwork, front hauls, etc. a day ahead to facilitate shipments. 7. Compiles all invoices received by the plant, prepares them for approval, and makes certain that all purchases over $500 have a PO number. Maintains vendor files at plant location. 8. Enters all receiving and shipping information in a computerized spreadsheet daily, as the information becomes available, and scans and emails the paperwork to Shapiro headquarters and the Customer as is required and appropriate. 9. Updates Customer Phone List, Vendor Phone List, and Equipment Inventory List as needed. Changes out all ISO forms and documentation as revisions are made and received. Cleans up CIR?s regularly. 10. Tracks all drivers? paperwork, makes copies of driver?s paperwork as needed for plant manager, and ensures that all driver paperwork is transmitted to Transportation at headquarters. 11. Maintains human resources records and training records for South Bend employees as needed. Submits payroll to headquarters weekly for South Bend employees. Also keeps track of all temporary workers, and submits payroll as is appropriate for all temporary workers. Interfaces with temporary labor agency when required 12. Files all miscellaneous paperwork required to be kept on the plant level or as instructed by the Plant Manager. Makes copies of all items sent to headquarters and files copies as required. Files all other paperwork as may be required. Periodically purges files of all old materials as set forth in company ISO standards. 13. Presents a professional attitude to all internal and external customers face-to-face or over the phone while maintaining a neat and organized workspace. 14. Processes Accounts Payable 15. Does Payroll in a timely manner. 16. Misc Tasks assigned by Plant Manager Additional Responsibilities: 1. May audit and proof accounting or other reports for clerical accuracy and conformance to departmental procedures. 2. May perform secretarial functions as needed for assigned staff member(s).
