Experience with contracts and/or leases preferred, and formal records management experience a plus. Proficiency in MS Office, particular strength in PowerPoint , experience with Adobe, Yardi or other accounting software, Photoshop, Citrix, Dyna, and/or Nexus preferred, strong oral and communication skills, analytical skills, strong organizational skills with ability to prioritize, strong ability to multi-task while meeting strict deadlines, strong time management skills, ability to adapt to change and work in a fast-paced environment, ability to maintain confidentiality and high level of professionalism, and team oriented. Bachelor's degree or equivalent combination of education and experience. Notary Public preferred. Responsibilities entail general admin support including receiving and returning phone calls, faxing, copying, ordering supplies, scanning documents, filing, coordinating storage and retrieval of files; organizing and coordinating travel arrangements (air, hotel, cars, etc.); managing expense reporting for all team members; maintaining calendars for senior team members; tracking critical dates (events, conferences, etc.); maintaining Investment Management (IM) and Strategic Development Services (SDS) contacts database; collating and assembling documents, accepting and delivering interdepartmental correspondence and so forth; creating and maintaining project files in rolling filing system; preparing and updating SDS budgets and fee forecast; coordinating departmental meetings, executive meetings, and conference calls; communicating with vendors or outside contacts to discuss servicse, arrange meetings, etc. via phone, fax, email or face-to-face; maintaining accurate records and files for all projects; assisting in assembling contracts and distribution of contracts; and other duties as assigned. Specific duties for Investment Management (IM): Presentation Preparation - Develop high quality presentations for investor relations meetings; Print, collate, and bind hard copies of presentations; and, Convert presentations to electronic copy for archives and email correspondence. Marketing and Communications Liaison - Represent IM as liaison to Marketing and Communications; Supporting marketing materials production; Maintaining marketing library of documents produced and sent to clients; and, Maintaining mailing lists for newsletters. Investor Relations - Coordinate reporting to investors for Portfolio Management. Data Room Administrator - Post investor reports to data room site; Act as liaison with IS regarding technical issues; and, Coordinate new user credentials. Record Management - Establish records architecture; and, Maintain record copies of correspondence with investors. Specific duties for Strategic Development Services (SDS): Accounting, Budgeting, and Monthly Reports - Handle all expense reporting for employees including SDS expense report while ensuring timely and accurate expense accounting; Input A/P invoices into accounting system for development and construction; Prepare client billings; Set up all new vendors & provide like information to accounting; Securing final agreements from all vendors on completed projects; Maintain current insurance for vendors and general contractors on all projects by providing Risk Management with all received certificates. Marketing - Research, correlate, and edit information and data in preparation for meetings, projects, and reports; and, Prepare and update marketing information and correspondence for marketing packages and proposals, and presentations. Records Management - Assists in the Record Management Program for SDS; and, Assist in maintaining all legal contracts, agreements for clients, contractor, and vendors. Client/Tenant/Corporate Relations - Maintain SDS Intranet site; and Maintain SDS mailing list. Pre-Development - Assist in compiling feasibility books; and, Scan and post Feasibility information in electronic files and DMS. Construction - Assist in preparing close-out documentation for projects; and Assist in tracking historical cost information and project specific information. Miscellaneous - DMS: maintain day-to-day activities in DMS. Adding new project, new users, uploading documents; Expesite: upload documents; Provide backup support to receptionist on an as needed basis; and perform other duties as assigned.
